Benefits Realization
The Benefits Realization module manages the full lifecycle of transformation benefits: identify, plan, measure, realize, and sustain. It includes a benefits map linking strategy to outcomes and a dashboard with aggregate KPIs.
Overview
Transformation programs exist to deliver measurable business value. ProBeya provides structured benefits management so organizations can track whether projects actually deliver the outcomes they promised. Each benefit flows through a defined lifecycle, gets measured periodically against a baseline, and rolls up into a realization dashboard that shows how much value has been captured versus expected.
Getting Started
- Navigate to PPM > Benefits to see the benefits register.
- Click + New Benefit and link it to a project or program.
- Set the expected value, measurement method, and target date.
- Record baseline measurements and track progress over time.
- Use the Benefits Map to visualize how benefits connect to strategic objectives.
How It Works
Benefit Lifecycle
Each benefit moves through these statuses:

Benefit Categories and Types
Benefits are classified along two dimensions:
- Category:
tangible(quantifiable, monetary) orintangible(qualitative, non-monetary) - Type:
financial,operational,strategic,compliance, orsocial
These classifications help portfolio managers filter and prioritize where to focus realization efforts.
Measurement Tracking
Each benefit has a measurement method, baseline value, expected value, and unit (e.g., EUR, %, hours). Periodic measurements are recorded with:
- Measured value — the actual observed value at a point in time
- Measured date — when the measurement was taken
- Notes — context about the measurement conditions
The latest measurement automatically updates the benefit's actual value. The full measurement history is retained for trend analysis.
Benefits Map
The benefits map is a directed graph that visualizes relationships between:
- Strategic objectives — high-level organizational goals
- Benefits — measurable outcomes that serve objectives
- Outputs — deliverables that produce benefits
- Projects — work that creates outputs
Links between nodes use relationship types: enables, contributes, or delivers. This map helps stakeholders understand the causal chain from project investment to strategic value.
Benefits Dashboard
The aggregate dashboard shows:
- Total number of benefits and breakdown by status
- Total expected value vs. total realized value
- Realization rate (percentage of expected value achieved)
- Filters by project or program scope
Configuration
- Units — any string (EUR, USD, %, hours, FTEs, etc.)
- Tags — up to 20 tags per benefit for flexible categorization
- Owner — assign a benefit owner responsible for realization tracking

Tips & Best Practices
Define the measurement method and baseline value before moving a benefit to "Planned" status. Without a clear baseline, it is impossible to calculate meaningful variance or realization rates.
Use the benefits map to communicate the value chain to sponsors. A visual link from project investment through outputs to strategic objectives is far more persuasive than a spreadsheet of numbers.
