Shift Handover
It is 13:47 on a Friday afternoon at the Seneffe biomanufacturing site. The morning shift lead sits at the workstation outside the purification suite, composing the shift handover in ProBeya. The system has already auto-compiled the operational snapshot: 3 open actions on the Quality board (one critical — the chromatography column pressure trend is rising), 2 KPI anomalies (yield at 87% vs. 92% target, CIP cycle time exceeding baseline), and 14 activity log entries from the shift. The shift lead adds structured items: a safety note about a wet floor near the buffer prep area, a quality flag on the column pressure trend, and a production update that Batch PUR-2026-0312 is at Step 4 of 7 and on schedule.
At 13:55, she clicks Submit. The handover locks. The incoming afternoon shift lead gets a notification. At 14:08, he opens the handover, reads the column pressure note, reviews the auto-compiled KPI anomalies, and clicks Acknowledge. The system records who acknowledged, when, and calculates a health score of 88/100 for the handover quality.
No paper logbook. No verbal-only handoff. No "I thought you told the next shift about the pressure trend" conversations after a deviation occurs.
Why Shift Handovers Are a Patient Safety Issue
Incomplete shift handovers are a leading cause of quality deviations and safety incidents in manufacturing environments. The UK Health and Safety Executive found that 90% of industrial incidents involving shift work had a communication failure as a contributing factor. In pharma, the consequences are amplified: a missed handover about rising column pressure can lead to a batch failure worth millions, or worse, a product quality issue that reaches the patient.
FDA Warning Letters regularly cite inadequate shift communication as a systemic failure. EU GMP Chapter 2 requires that "responsibilities placed on any individual should not be so extensive as to present any risk to quality" — and expecting an incoming operator to intuit the state of a process without structured communication is exactly such a risk.
The handover module in ProBeya addresses this by combining three elements that paper logbooks cannot: auto-compiled operational data (so nothing is forgotten), structured items (so communication is categorized and prioritized), and acknowledgment tracking (so receipt is verified, not assumed).
If you want to know how operationally mature your site is, look at the shift handover quality. Sites that take handovers seriously have fewer deviations, faster response to abnormal conditions, and higher employee confidence. Track handover health scores as a leading KPI.
How It Works
Creating a Handover
- Navigate to your board and open the Shift Handover panel
- Click New Handover and select the shift type (morning, afternoon, or night)
- The system auto-compiles operational data
- Add structured handover items organized by category
- Set priority and resolution status for each item
- Click Submit to lock the handover
Handover Lifecycle
| Status | Description | Who Can Act |
|---|---|---|
| Draft | Being composed by outgoing shift — fully editable | Handover creator |
| Submitted | Locked for editing, awaiting incoming acknowledgment | Read-only |
| Acknowledged | Incoming shift lead has confirmed receipt | Complete |
This three-state lifecycle ensures a clean chain of custody: the outgoing shift writes, the system locks, the incoming shift reads and confirms.
The Auto-Compilation Engine
When a handover is created or refreshed, ProBeya automatically queries three data sources in parallel:
| Source | What It Captures | Limit |
|---|---|---|
| Open Actions | All non-completed action items for the board | Up to 50 |
| KPI Anomalies | KPI definitions whose latest values are in the red or amber zone | All anomalies |
| Recent Events | Activity log entries during the shift window | All events in window |
The shift window follows standard manufacturing convention:
- Morning: 06:00 - 14:00
- Afternoon: 14:00 - 22:00
- Night: 22:00 - 06:00 (next day)
The auto-compilation pulls in open actions and KPI anomalies automatically. Use this as a checklist to ensure nothing is forgotten, then add human context that the data alone does not capture. The machine knows that column pressure is trending — only you know that Engineering is scheduled to inspect it tomorrow morning.
Structured Handover Items
Each handover contains items categorized for rapid scanning by the incoming shift:
| Category | What to Include | Example |
|---|---|---|
| Safety | Hazards, near-misses, PPE issues | "Wet floor near buffer prep — cone placed, cleaning scheduled for 14:30" |
| Quality | Deviations, OOS, process anomalies | "Chromatography column DP rising — 2.1 bar vs. 1.8 bar baseline. Monitor next 2 hours." |
| Production | Batch status, schedule, yield | "Batch PUR-2026-0312 at Step 4/7, on schedule for 18:00 completion" |
| Equipment | Malfunctions, degraded performance, PM scheduled | "CIP skid B pump seal showing minor weep — PM order #4521 submitted" |
| General | Staffing, visitors, training, other | "Auditor from QA visiting Line 2 at 15:00 — escort required" |
Items carry a priority (high/medium/low) and a resolved flag, enabling the incoming team to instantly identify what needs immediate attention versus what is informational.
Worked Example: Critical Handover in Biologics
Scenario: During the morning shift, a chromatography column shows rising differential pressure. The outgoing shift lead composes the handover:
Auto-compiled data:
- 3 open actions (1 critical: "Investigate column DP trend")
- KPI anomaly: Yield at 87% vs. 92% target
- KPI anomaly: CIP cycle time 45 min vs. 38 min baseline
Structured items added by shift lead:
| Category | Priority | Item | Resolved? |
|---|---|---|---|
| Quality | High | Column DP at 2.1 bar vs. 1.8 bar baseline. Trend has been rising since Batch PUR-0310. Engineering inspection scheduled for tomorrow AM. If DP reaches 2.5 bar, stop the run and escalate to TIER 2. | No |
| Safety | Medium | Wet floor near buffer prep — cleaning cone placed | Yes |
| Production | Medium | Batch PUR-2026-0312 at Step 4/7, ETA 18:00 | No |
| Equipment | Medium | CIP skid B pump seal weeping — PM order submitted | No |
The incoming shift lead acknowledges the handover at 14:08. The acknowledgment time (8 minutes) is tracked, and the health score reflects the completeness and timeliness of the handover.
The Health Score Engine
Every handover receives a quality score from 0 to 100, evaluating three dimensions:
| Dimension | What It Measures |
|---|---|
| Completeness | Did the outgoing shift add structured items across relevant categories? |
| Data Review | Was the auto-compiled data reviewed (indicated by item additions or edits)? |
| Timeliness | Was the handover submitted before the shift window ended? |
A score of 80+ indicates a well-executed handover. Below 60 suggests the handover was rushed or incomplete.
If health scores are declining over weeks, investigate whether teams are rushing through handovers due to workload pressure, whether the template needs simplification, or whether the cultural importance of handovers has eroded. The health score trend is a leading indicator of operational discipline.
Analytics for Continuous Improvement
The module provides five analytics views designed for management review:
| Analytics View | What It Shows | Use Case |
|---|---|---|
| Health Score Trend | Weekly average scores over 12 weeks | Identify declining handover quality before it causes incidents |
| Worst Performing Shifts | Bottom 5 shifts by average score (30 days) | Target coaching and support where it is needed most |
| Carry-Forward Top Items | Most frequently recurring unresolved items | Identify systemic issues that persist across multiple shifts |
| Acknowledgment Time Distribution | Histogram of how quickly handovers are acknowledged | Detect shifts where incoming leads are not reviewing handovers promptly |
| Completion Rate | % submitted and % acknowledged by week | Track overall handover discipline at the site level |
The Carry-Forward Top Items report is gold. If the same equipment issue appears in handovers for three consecutive weeks, it is no longer a shift-level problem — it is a maintenance planning failure. Escalate it to TIER 2 with the data.
Regulatory Context
Shift handover records in ProBeya support compliance with:
- EU GMP Chapter 2.10: "There should be procedures and records for... shift handovers to ensure that all relevant information is communicated"
- FDA 21 CFR 211.192: Documentation of production events and deviations that must be communicated across shifts
- ICH Q10 Section 1.6.3: Operational management review practices that include shift-level communication
- PIC/S PE 009-16: Guidance on manufacturing records and communication protocols
The acknowledgment mechanism is particularly important: it creates an electronic record proving that the incoming shift received and reviewed the information. This is the digital equivalent of the co-signature in a paper logbook, but with the added benefit of tracking acknowledgment timeliness.
