Schedule Management

Schedule Management provides reporting and analytics on top of the WBS schedule data. It includes milestone status tracking, critical path analysis, planned-vs-actual variance reports, upcoming deadline alerts, and overdue task identification.

Overview​

Project schedules inevitably drift as reality diverges from plans. ProBeya's schedule reports give project managers and PMO directors real-time visibility into which milestones are at risk, how much variance exists across the WBS, and which tasks need immediate attention. All reports derive from the WBS element data computed by the CPM engine.

Getting Started​

  1. Ensure your project has a WBS with planned dates and milestones defined.
  2. Run Calculate Schedule from the WBS tab to populate early/late dates.
  3. Navigate to PPM > Schedule Reports for the project.
  4. Select the report type: Milestone, Critical Path, Variance, Deadlines, or Overdue.

How It Works​

Milestone Report​

The milestone report lists all WBS elements flagged as milestones, ordered by planned end date. For each milestone, the report computes:

  • Status: complete (100% done), on_time, at_risk (within 7 days of due date and less than 50% complete), or overdue (past due and not complete)
  • Variance days: difference between actual and planned end date (negative means early, positive means late)
  • Completion percentage: current progress

This provides a quick executive summary of which milestones have been hit and which are slipping.

Critical Path Report​

Returns all WBS elements on the critical path with their scheduling details:

  • WBS code, title, planned start and end dates
  • Completion percentage and milestone flag
  • Total project duration computed from the earliest start to the latest end date
  • Total task count

Variance Report​

The variance report compares planned versus actual dates for every WBS element and computes:

  • Start variance (days): actual start minus planned start
  • End variance (days): actual end minus planned end
  • Effort variance (hours): actual effort minus planned effort

Summary statistics include:

  • Count of elements on time vs. behind schedule
  • On-time percentage across elements with variance data
  • Average delay in days for behind-schedule elements

Upcoming Deadlines​

Shows tasks and milestones due within a configurable window (default: 14 days, max: 365 days). The report filters to incomplete elements with planned end dates falling between today and the window boundary. Each entry shows:

  • Days until due
  • Current completion percentage
  • Whether it is a milestone
  • Responsible person

Overdue Tasks​

Lists all WBS elements where the planned end date is in the past and completion is below 100%. Each entry shows:

  • Days overdue (today minus planned end date)
  • Current completion percentage
  • Whether it is a milestone
  • Responsible person

Tips & Best Practices​

Review the overdue tasks report at every weekly status meeting. It surfaces the most actionable items that need intervention.

Use the upcoming deadlines report with a 7-day window for sprint-level planning. Extend to 30 days for monthly steering committee reports.

The variance report's effort variance column is particularly useful for identifying tasks where actual labor significantly exceeds estimates, which may indicate scope creep or underestimation.

Schedule reports reflect the last CPM calculation. If you have modified the WBS or dependencies since the last calculation, re-run Calculate Schedule before generating reports.
