Cleanroom Configuration

ProBeya's Cleanroom mode adapts the interface for use in pharmaceutical cleanroom environments where operators wear gloves, face shields, and gowning that prevents direct touchscreen interaction. The Cleanroom Settings page lets admins create and manage environment-specific configurations, and monitor the registered devices operating in cleanroom mode across the organization.

Overview

Cleanroom environments in pharmaceutical manufacturing impose strict constraints on how digital tools can be operated: operators cannot touch shared screens, gowning prevents precise input, and regulatory requirements (21 CFR Part 11, EU Annex 11) demand audit trails for critical data entries. ProBeya's cleanroom mode addresses these constraints through voice-driven navigation, high-contrast large-display layouts, automatic inactivity logout, NFC/BLE-triggered auto-activation, and mandatory verbal audit narration before critical actions.

Each physical cleanroom area — a filling line, a packaging suite, a QC lab — can have its own configuration, letting you tune the interface to the specific workflow, shift length, and regulatory context of that space.

The settings page provides configuration management at the organization level alongside workspace-level cleanroom pages, so a central admin can govern all cleanroom environments from one location.

Getting Started

1. Navigate to Settings > Cleanroom.
2. The page opens on the Configurations tab. Click Create Configuration.
3. In the dialog, complete the configuration form:
   • Name: A human-readable identifier for this cleanroom area (e.g., "Building A — Filling Suite 3").
   • Location Tag: The NFC tag ID or BLE beacon identifier for this location (optional). Used for auto-activation.
   • Command Set: Choose Full or Simplified.
   • Auto-Logout: Inactivity timeout in minutes (1–480).
   • Display Mode: Choose Standard or Large.
   • Toggle Continuous Listening, Auto-Activate, and Require Audit Narration as needed.
4. Click Save. The configuration appears in the list with a summary of its key settings.
5. Switch to the Devices tab to view and manage the registered cleanroom devices for your organization.

Configuration

Configurations Tab

Each cleanroom configuration contains the following settings:

Setting	Options	Description
Name	Text (max 200 characters)	Human-readable label identifying the cleanroom area. Required.
Location Tag	Text (max 500 characters)	NFC tag ID or BLE beacon identifier for this location. When a device detects this tag, it can auto-activate cleanroom mode if Auto-Activate is enabled. Optional.
Command Set	Full / Simplified	Full enables all available voice commands. Simplified exposes only the essential subset to minimize operator error in high-risk environments. Default for new configs: Simplified.
Auto-Logout	Integer, 1–480 minutes	Inactivity timeout after which cleanroom mode automatically logs out and returns to the lock screen. Default: 15 minutes.
Display Mode	Standard / Large	Large renders the UI with high-contrast colors and oversized text for readability through face shields. Default for new configs: Large.
Continuous Listening	On / Off	When on, the microphone remains active without requiring a wake word. Required in environments where operators cannot press buttons. Default for new configs: On.
Auto-Activate	On / Off	When on, the device automatically enters cleanroom mode when its location tag is detected. When off, the operator must manually activate cleanroom mode. Default for new configs: Off.
Require Audit Narration	On / Off	When on, the operator must speak a verbal description before ProBeya records a critical action (e.g., form submission, checklist sign-off). The narration is stored in the audit trail. Default for new configs: On.

GxP compliance note

For environments subject to 21 CFR Part 11 or EU Annex 11, enable Require Audit Narration and set Auto-Logout to a value consistent with your validated session timeout policy. Changes to these settings in a validated environment must follow your organization's change control procedure.

Configuration List

The configuration list shows each configuration as a card with its name, location tag (if set), command set, auto-logout duration, display mode, and continuous listening state. Edit and delete buttons are available on each card.

Deleting a configuration is permanent and cannot be undone. Devices previously using that configuration continue to operate but lose their configuration reference and will fall back to platform defaults on the next session.

Devices Tab

The Devices tab shows all cleanroom devices registered in the organization. Each device record displays:

• Device name and identifier
• Assigned configuration (if any)
• Last seen timestamp
• Current status (active / inactive)

Use the devices tab to audit which physical terminals are operating in cleanroom mode and to identify devices that have gone offline or are operating without a configuration assignment.

Permissions

Role	Access
org_owner	Full access: create, edit, delete configurations; view all devices
tenant_admin	Full access: create, edit, delete configurations; view all devices
site_admin	Full access: create, edit, delete configurations; view all devices
Workspace owners	Workspace-level cleanroom pages provide a scoped view of configurations assigned to their workspace.
All other roles	No access to the settings-level cleanroom page.

Tips & Best Practices

• Use Simplified command set as the default. The reduced command surface lowers the chance of an operator accidentally triggering an unintended action while wearing gloves. Enable the Full command set only for experienced users or low-risk workflows.
• Set auto-logout to match your shift structure. A 15-minute timeout suits most TIER meeting flows. If operators work at a terminal for extended continuous periods, increase the timeout to avoid repeated re-authentication interruptions.
• Assign location tags to every configured area. NFC-triggered auto-activation eliminates the need for operators to manually select their environment — a friction point that can lead to skipped activation and ungoverned data entries.
• Enable Large display mode for all face-shield environments. Standard text is difficult to read through polycarbonate face shields under cleanroom lighting. Large mode is designed for this condition and should be the default for all regulated manufacturing environments.
• Test Require Audit Narration in your validation environment before enabling in production. Verbal narration is captured and stored. Confirm that your recording infrastructure and storage retention policies meet your regulatory requirements before enabling this feature in a GxP-controlled space.
• Monitor the Devices tab weekly. An offline device may indicate a hardware failure, network disruption, or unauthorized removal. Devices that have not checked in for more than 48 hours should be investigated.
