Technology Transfer

The Technology Transfer module manages the full lifecycle of transferring products, processes, analytical methods, and cleaning procedures between manufacturing sites. It supports phased progression from knowledge gathering through closure, step-level task tracking with readiness scoring, and an extended model covering batch campaigns, CPP/CQA parameter comparison, knowledge sessions, and risk management.

Tech transfer is one of the most complex activities in pharma manufacturing. ProBeya makes it structured, measurable, and audit-ready.

Overview​

Technology transfers involve moving the knowledge, documentation, and validated processes needed to manufacture a product from a sending site to a receiving site. Without structured management, critical knowledge gaps lead to failed batches, delayed timelines, and regulatory findings. ProBeya provides both a streamlined transfer tracker and an extended project model with deep pharma-specific capabilities.

Getting Started​

  1. Navigate to the Tech Transfer section from the main menu.
  2. Click New Transfer to register a technology transfer.
  3. Specify the sending site, receiving site, transfer type, and target dates.
  4. The transfer starts in Knowledge Gathering phase.
  5. Add steps (tasks) to the transfer and assign them to team members.
  6. Progress through the six phases as steps are completed.
  7. Use Calculate Readiness Score to get a composite readiness metric.

Phase Progression​

Technology transfers progress through six sequential phases:

Step-Based Task Tracking​

Each transfer contains ordered steps (tasks) that represent individual activities:

Readiness Scoring​

The readiness score (0-100) provides a composite metric of transfer progress:

  • Task Completion — percentage of completed steps (primary signal)
  • Blocked Penalty — deduction for blocked steps (up to 20 points)
  • Overdue Penalty — deduction for overdue steps (up to 15 points)

The score is automatically recalculated when phase or status changes, and can be manually triggered via the calculateReadinessScore procedure. A detailed breakdown is available via getReadinessBreakdown.

Extended Project Model​

For complex transfers, the extended model (tech-transfer-projects.ts) provides 39 procedures covering:

  • Project CRUD — full project lifecycle with dashboard and readiness analytics
  • Phases and Tasks — structured phase management with reordering and template application
  • Batch Campaigns — track trial and validation batches with statistical summaries
  • CPP/CQA Parameters — source-vs-receiving parameter comparison with in-spec calculation
  • Knowledge Sessions — formal knowledge transfer meetings with dual-site sign-off
  • Risk Management — risk register with 5x5 probability-impact matrix
  • Regulatory Checklist — per-section compliance readiness tracking with template application

Statistics​

The getById procedure returns enriched data including step statistics: total, completed, in-progress, blocked, pending counts, and overall completion percentage.

Configuration​

Transfers are scoped to the organization. Listing supports filtering by status, transfer type, and name search with pagination (default 20, max 100).

Tips & Best Practices​

Start with knowledge gathering

Resist the urge to jump to protocol writing. Thorough knowledge gathering at the source site prevents costly gaps discovered during execution.

Track blocked steps actively

Blocked steps are the primary risk to transfer timelines. The readiness score penalizes them proportionally — use this signal to escalate blockers early.

Use the extended model for complex transfers

Simple method transfers may only need the basic transfer + steps. Full product transfers between continents should use the extended project model with batch tracking, parameter comparison, and risk management.

Set realistic target dates

Overdue steps reduce the readiness score. Set achievable dates and update them when circumstances change, rather than letting overdue items accumulate.
