Automations

Automations let you define rules that trigger actions automatically when certain conditions are met. They follow a When / Then pattern and can save significant time on repetitive tasks.

Creating an Automation​

  1. Open a board and click Automations in the top bar.
  2. Click + New Automation.
  3. Define the trigger (the "When" part).
  4. Define the action (the "Then" part).
  5. Optionally add conditions to refine when the automation fires.
  6. Give the automation a name and click Save.

Triggers (When)​

Actions (Then)​

Conditions​

Add conditions to make automations more specific:

  • "When Status changes to 'Done' and Priority is 'High' → Send notification to @ProjectManager"
  • "When Item created and Label contains 'Bug' → Assign to @QATeam"

Examples​

Auto-assign on status change​

When Status changes to "In Review" Then Assign to @reviewer

Due date reminder​

When Due Date is 1 day from now Then Send notification to assignee

Auto-archive completed items​

When Status changes to "Done" and 7 days have passed Then Archive item

New item defaults​

When Item is created Then Set Priority to "Medium" and Set Status to "To Do"

Managing Automations​

The automations panel lists all rules for the current board. For each automation you can:

  • Enable / Disable — Toggle the automation on or off without deleting it.
  • Edit — Modify the trigger, conditions, or actions.
  • View history — See a log of every time the automation fired and whether it succeeded.
  • Delete — Remove the automation permanently.

Limits​

  • Each board can have up to 50 automations.
  • Automations execute within a few seconds of the trigger event.
  • Recursive automations (where one automation's action triggers another) are allowed up to 3 levels deep to prevent infinite loops.
